How to Plan a Great Festive Work Party!

It might seem like summer has only just begun, but those Christmas bells are already ringing! With less than 5 months to go until the big day, the talk in the workforce has likely become focused on where you will be having the work Christmas party this year! A Festive Work Party is never going to be ‘easy’ to plan to ensure the perfect mix of professionalism and fun. However, when done right the Festive Work Party can be a brilliant way to bring people together, celebrate achievement and leave your workers in high anticipation all year for the next one!
Get out of the Office – People spend over 70% of their time at work, for most people this will be spent in the office. Therefore it’s unlikely your colleagues will want to celebrate Christmas there too! Find an external venue that everyone will enjoy. Perhaps the Grand Hotel, Eastbourne ‘Winter Wonderland’ Party night might be just what you're looking for?
Plan Ahead– It’s not too late, but it soon will be! Christmas party season is one of the busiest times of the year and the best venues get booked up months in advance. Find out how many people are likely to attend and decide on a budget that suits everyone. Don’t panic if you find you have left it too late; consider holding your party in November or January. Here at the Grand, we can tailor private events with themed cocktails and banqueting menu choices – Just speak to the events team!
Pick a Date – This should be one of your first jobs when planning your Festive Work Party. People get very busy and booked up during the festive season, so decide on a date early doors. Remember you can’t please everyone, send out a few dates and go with the majority.
Pick your Venue – Many places now provide a full package including venue, food and entertainment – taking the stress off of you. Research available venues within budget and that are easily accessible by everyone and create a shortlist of venues. Ask each venue to send you a quote. Remember to find out exactly what is and isn’t included in the package so everyone is clear about what to expect on the evening.
Finalise the Guest List – Once your venue is provisionally booked, finalise numbers. This will need to be done quite quickly as venues will usually require a deposit to secure your booking. Send out an email for the event with the confirmed date, venue, times, menu, cost and any other relevant information.
Advise your guest the cut off date and what deposit they need to pay. Ask them to confirm menu choices and if there are any special dietary requirements.
Add a little Extra – Organise a little extra sparkle on the evening. Put together some festive goody bags for your guest to say thanks (we have some delicious branded ‘Grand’ chocolates and Fudge that would make the ideal festive favours). If your work budget doesn’t stretch that far, then organise a ‘Secret Santa’ between colleagues to be given out as your guest sit down for dinner.
Have Fun – Once all the preparation for your Festive Work Party is complete and everyone is at the venue ready to enjoy their evening. Hang up your coat, get a glass of Fizz and dance the night away!
